The change

From month-end scramble to a routine

How it usually runs today

  • Rent invoices are raised one by one, or not at all
  • Arrears are discovered when an owner complains
  • Security deposits are a number someone remembers
  • Owner statements take days of copy-paste each month
  • Repairs are paid, but nobody recovers them from the owner

How it runs on BuilderOne

  • One monthly billing run, with a preview before anything is issued
  • Arrears by age on the landing page, every day
  • Deposits held, applied and refunded as tracked documents
  • Owner statements straight from the owner’s account
  • Vendor bills marked owner-recoverable land on that owner’s statement

The rental cycle

From a signed tenancy to a settled owner

Tenants on one side, property owners on the other, and your management fee in the middle — all in one account.

  1. Properties and owners

Set up buildings and units, and who owns what — including several owners sharing one property by percentage, with dates.

  2. Tenancy

Create the agreement with rent, term and charges. Renew, amend or terminate it later without losing the history.

  3. Security deposit

Record the deposit when it is received. It is held as a liability until you apply it or refund it, with an approval on the refund.

    Deposit held in the ledger
  4. Monthly billing

Run the month’s rent and service-charge invoices in one batch. You see exactly what will be issued — and what will be skipped — first.

    Invoices post to the ledger
  5. Receipts

Record payments against invoices and send the receipt on WhatsApp. Unpaid invoices age on the arrears view.

  6. Owner account

Rent collected, your management fee and recoverable expenses build up on each owner’s account, by ownership share.

  7. Owner payout

Submit the payout, have it approved, then pay. The statement the owner receives matches your books because it comes from them.

What is covered

Everything a managed portfolio needs

  • Vacancy and occupancy

Occupancy by building, vacant units, and agreements ending in the coming months.

  • Management fees

Charge owners a fixed amount or a percentage of rent, with a separate rule for vacant months.

  • Vendor bills

Record repairs and services against a property and decide whether the owner or your company bears the cost.

  • Brokers

Track broker fees on lettings and pay them out.

  • Tenant statements

A statement per tenant across invoices, receipts and deposits — print or PDF.

  • Rental reports

Rent roll, tenant ageing, deposit register, owner ledger, agreement expiry and more.

Accounting included

Owner money is kept separate from your money

Rent you collect for an owner is not your income. BuilderOne records it that way: your management fee is your revenue, the rest is owed to the owner.

  • Deposits as liabilities, not income
  • Owner balances that reconcile to the ledger
  • Receivables by tenant with ageing
  • Posted by Finance from one queue, into the right period

Straight answers

Questions buyers ask us

Including the ones where the answer is “not today”.

Are rent invoices generated automatically every month?

You run the monthly billing batch — it is one action with a preview, not a background job. We do that deliberately: nothing is issued to tenants without someone looking at it first.

Is there a tenant or owner portal?

No. Statements and invoices are produced by your team and can be shared as PDF or over WhatsApp.

Can one property have several owners?

Yes. Ownership is recorded as percentage shares with effective dates, and rent is attributed to each owner accordingly.

Can we bring our history across from PBooksPro?

Yes. We plan your PBooksPro migration with you during setup — properties, parties, agreements and history.

Do you handle service charges for a building?

Yes. Service charges can be invoiced alongside rent, and there is a monthly service-charge fund view per building.
